What is export?

The Export module allows you to take a snapshot of your data within the system. Therefore, the expiration date for a generated export is 7 days, after which you'll need to create a new one.

You can use the Export module to access your data in four main areas: payments, subscriptions, dataset, and contacts. For example, you can easily see how many people have used card as a payment method by exporting payment data – creating an export of Payments – and then filtering by the desired payment method.

How long does it take?

Export time varies depending on the amount of data and system load – depending how much you and others are exporting at that particular time. It can take anywhere from seconds to minutes. You can choose to receive a notification when your export is ready.

List viewing – what does it show?

In the Export module overview, you can see a list of the exports you've recently created.

  • State 

Under 'state,' you have the option to see the status of your export file downloads. There are four possible states:

    • Pending: The export is queued and waiting to be processed.
    • In progress: The export is currently being processed.
    • Processed: The export is ready to be downloaded.
    • Failed: The export has failed – we receive direct notification and then rectify the error.

  • Time left 

This shows how much time is left before the export expires. As mentioned, exports have a lifespan of 7 days, after which they disappear. Therefore, it's important to download the export before the time expires if you wish to retain it.

  • Name

Here you can see the name you've given your export. Giving it a descriptive name can make it easier to identify later.

  • Entity

The entity indicates where the data is fetched from. OnlineFundraising's backend is divided into different areas, where each export is associated with a specific entity. This helps organise and separate the data.

  • Number of rows 

This shows the total number of rows in the Excel sheet for the export. For example, if you've exported contacts, the number will indicate the number of contacts in the export.

  • Download 

This function allows you to download your export by clicking on the icon. If the export is empty, the download button will not be displayed.

Single view – what does it show?

When you click on one of the finished exports in the list, you get access to a more detailed view of the individual export. Here you can find additional information about the export.

  • Created

This shows the creation time of the export. The time is shown in the format YYYY-MM-DD (year, month, day), HH:MM:SS (hour, minute, second).

  • Format

This information shows the format in which the export is available. You can choose between XLSX (Excel) or CSV format. Each has its advantages depending on how you plan to use your data.

  • Email

Here you can see the email address associated with the export. If you've chosen to receive a notification when the export is ready, this email address will receive the notification.
